Account & Data Deletion

How to have your Sentinel360 account and the personal data held in it deleted — what is removed, what your employer keeps and why, and how long it takes. This page is the public deletion route required by Google Play.

1. At a glance

2. Who can request deletion

Sentinel360 is a business application licensed to organisations — factories, plants, warehouses, campuses and the security agencies that staff them. It is not a consumer app. Accounts are created and approved by an administrator at that organisation, not by us, and that shapes how deletion works.

3. How to request deletion

Three routes are available. All three end in the same outcome; the first is usually fastest.

From inside the app Fastest

Sign in and open the Profile tab. At the bottom of the screen, under Danger zone, tap Delete my account. The same action is available on the Sentinel360 web console’s Profile page.

  1. Read the summary of what is deleted and what your employer keeps.
  2. Optionally give a reason — it is passed to the reviewing administrator and to no one else.
  3. Tap Request deletion. You are signed out immediately.
  4. Your organisation’s administrator sees the request in the console under User Management and approves or declines it. You are told the outcome in writing.

Until it is approved, nothing has been deleted — sign back in and tap Withdraw request on the same screen to cancel it.

Ask your administrator

Use this if you would rather not raise the request yourself, or if you want your access revoked on the spot. Contact your organisation’s System Administrator, security manager or HR department and ask them to delete your Sentinel360 account. They administer the account, they can deactivate it immediately, and they do not need to wait for us.

Your employer — not Vistaar — decides who holds an account at its sites, so we would need to consult them before acting on any request in any case.

Email Vistaar directly

Use this if you can no longer sign in, have left the organisation, cannot reach an administrator, or would rather not route the request through your employer.

  1. Write to info@vistaarintuitivesolution.com from the email address your account is registered under. Sending from the registered address is how we verify the request is genuinely yours.
  2. Use the subject line “Account deletion request”.
  3. Include your registered email address, your employee code, and the name of the organisation or site you work at. Without these we may not be able to identify the right account.
  4. We acknowledge receipt, verify the request with your organisation’s administrator, and confirm completion in writing — see §6 for timings.

If you cannot email from your registered address

Write from any address and tell us so. We will ask for alternative proof of identity before acting, because deleting the wrong person’s account is itself a data protection failure. We may decline requests we cannot verify.

4. What is deleted

On approval of a verified request, the following are permanently overwritten in our active systems. The overwrite is one-way: the original values are destroyed, not hidden, and cannot be recovered by us or by your employer.

  • Your full name, email address and phone number.
  • Your employee code.
  • Your site and plant assignment.
  • Your name where it was copied onto patrol records, rewritten to “Former user”.
  • Your login credentials, held by Google Firebase Authentication. Your password was only ever stored hashed and was never visible to us.

Your account is deactivated at the same moment, which is what stops the sign-in working; the stored credential is then removed by an administrator to complete the process. The account cannot be restored — if you need access again afterwards, your organisation must enrol you as a new user.

The one thing that is kept: an empty identifier

A single internal record survives, holding nothing but the account identifier (a random string such as 4kP2c9…), the role you held, and a marker that the account was deleted. It carries no name, no email, no phone number and no employee code.

It is kept because every gate entry, patrol and report your employer retains (§5) is stamped with that identifier. Without the marker the app cannot tell “this person left” from “this record is broken”, and screens would fall back to displaying the raw identifier instead. The marker is what lets Sentinel360 show a plain “Former user” everywhere instead. No personal data survives in it.

5. What is retained, and why

This is the part most people want to understand, so it is set out plainly. Deleting your account does not delete the operational records you created while using it.

Those records — gate entries, visitor check-ins, vehicle movements, patrol logs, incident reports — belong to the client organisation that operates the site, not to you and not to us. They form part of its security and safety register, they frequently contain other people’s personal data, and the organisation may be under a legal obligation to retain them. We hold them as a data processor and cannot erase them on our own initiative.

Your name against those records (the audit trail) Removed in every case. The records keep the account identifier that created them, and every screen renders it as “Former user”.
Shift roster history and swap requests Retained by the organisation as an employment record.
Backups Deleted data persists in encrypted backups until those backups age out on their normal cycle. It is not restored to active systems.

We may also retain data where the law requires it, or where it is needed to establish, exercise or defend a legal claim. Where that applies to your request, we will tell you the reason.

A request your administrator declines is not deleted — you are told the outcome and the reason, and you can escalate under §8. If a request is complex, or if your organisation disputes it, we may need longer than 30 days. We will tell you within that period and explain why.

7. If you were recorded at a gate

If you are a visitor, driver, contractor or employee whose name, photograph, vehicle or licence details were entered into Sentinel360 by a guard, you do not have an account and there is nothing for you to delete here.

That record was created by the site you visited, on its instructions and for its purposes. It is that organisation — not Vistaar — that decides whether it can be erased. Please contact the security office of the site, or its grievance contact, in the first instance.

If you cannot reach them, write to us at §9. We will route your request to the relevant organisation and support them in answering it, but we cannot amend or erase a client’s records on our own initiative.

8. Escalation & grievances

If your deletion request is refused, unanswered, or not handled to your satisfaction, you can escalate.

Under the Digital Personal Data Protection Act, 2023 you may also complain to the Data Protection Board of India if your grievance is not resolved. Your rights of access, correction, erasure and nomination are described in §12 of the Privacy Policy.
